The features and components you must have on your electronic health record system (EHR)

While you are looking for a clinic management system, it’s important to make sure the system possesses all the components we need.

There are of course differences between different types of clinics thus incurring the differences in the system components each clinic requires, however, there are some basic components that must be kept.

User friendly

One of the most basic and important components is that the system is user-friendly and easy to use. As medical staff professionals, we would like to dedicate the most out of our time and attention to our patients. That is why it is important that the computerized system is easy and comfortable to use and wouldn’t require time and energy when working with the system.


Demographic information

Demographic information is the basis of every electronic health record system (EMR). It is important to make sure that we have all the essential information about the patient. In addition, the system must be flexible enough to make it possible to update and add fields as required.


Calendars and appointments

In clinics where appointments are scheduled in advance and calendars are managed for different services, an appointment scheduling module is crucial for working in the clinic. Today, there are many systems for which previous information of the staff member about the patient is required in order to schedule a correct appointment. The smarter the system and the more automated and constructed the processes are, the simpler it will be to schedule appointments with no particular specialty required of the person coordinating the appointments.


Charges and payments

The charges and payments model connected to the work procedures in the clinic is a true asset. When executing and documenting a payment, especially when speaking about recording a notice of obligation from the HMO, it is important that the information and codes are inserted correctly. A system that allows a simple working procedure which is connected to the control data, will later enable the simpler issuance of charge reports.


Clinical documentation

Clinical documentation is the core of the visit to the clinic, and in order to facilitate the medical staff’s work, it is important to provide them with the proper tools. For example, presentation of historical medical information relevant to the visit, record of pre-made lists, a reduced and simple number of steps on the process, etc.


Document production

At each visit, we are required to issue different documents: visit summary, prescriptions, etc. It is important that our system has pre-made templates for each of those documents so that they can be easily issued.

Another point to think about is an automated send of the documents in a digital and secured way to the patient.


Reports

In order to monitor our activity and report to additional entities, there must be a possibility to issue a report. That is in order to make sure we have the reports required for daily use and to have the possibility to continue and develop additional reports as may be required.



Information security and privacy

The topic of medical data security and patient privacy has always been a significant subject, and in recent years with the entry of binding regulations as the GDPR, this topic becomes even more important. It is highly recommended to ensure that the system is adjusted to the regulations and information of the patients is protected and secure.
